Budget Tracking & Projections
Track spending against budget with month-by-month projections that account for encumbrances, pending transactions, and salary changes.
Personnel Effort Tracking
See who is charged to each account, at what effort percentage, and how that maps to salary cost, across all active awards at once.
Excel Import & Export
Pull financial data from GL exports with a single upload. Generate clean, formatted Excel reports for sponsors or internal review.
Custom Sheets & Notes
Attach notes, custom budget tabs, and formula-driven sheets to any account. Everything stays organized and accessible in one place.

Grant management, before and after GRAMS.

From scattered spreadsheets to a live, department-wide view of every dollar.

Without GRAMS

Excel everywhere, no single source of truth

  • Financial data exports rekeyed into spreadsheets
  • Dozens of Excel files per PI, per fiscal year
  • No department-wide view, only per-award files
  • Large workbooks freeze and crash
  • No audit trail of who changed what, when
  • Prior-year history lost when files are overwritten
  • Overspending discovered weeks after it happens
  • Rebudget needs caught only at year-end
  • Personnel forecasts rebuilt by hand each cycle
  • Non-personnel commitments guessed, not projected

With GRAMS

Live data, unified view, projected forward

  • Direct integration with your financial systems of record
  • Spreadsheets replaced with a single system of record
  • Unified view across every award in the department
  • Fast performance even at full-department scale
  • Full audit trail of every edit and approval
  • Complete history retained across all fiscal years
  • Real-time spending alerts before thresholds are hit
  • Rebudget alerts flag variances as they emerge
  • Personnel projections with salary, fringe, and escalations
  • Non-personnel forecasts based on actual commitments

Know exactly where every dollar goes.

Live dashboards pull from your financial data automatically. No manual updates, no stale reports.

Built for grants. Not adapted for it.

Most tools that end up in grants offices were designed for corporate finance, HR, or project management, then retrofitted to handle sponsored research. The result is workarounds, manual reconciliation, and spreadsheets filling the gaps. GRAMS was built from scratch around the specific vocabulary, pressures, and workflows of post-award grant management.

Closeout
The 90-day closeout crunch

End-of-award scrambles cost institutions time, money, and researcher trust. GRAMS tracks projected balances continuously so there are no surprises at the finish line, and no last-minute panics.

Effort Splits
Effort that doesn't match payroll

When a graduate student changes projects mid-semester or a postdoc splits effort across three grants, your spreadsheets fall apart. GRAMS tracks personnel allocations in real time against award periods.

Projections
Finance systems report the past

Your PI needs to know the future: what's left, what's committed, what needs to move. Financial systems show actuals. GRAMS projects forward, accounting for pending charges, open commitments, and burn rate.

Budget Mods
Budget modifications that break everything

A no-cost extension, a reallocation request, or a cost-share adjustment shouldn't require hours of manual rework. GRAMS is built around the reality that budgets change and adapts without breaking your data.

Reporting
Reports that take all afternoon

Pulling a portfolio overview for your department chair or a PI-specific snapshot for an annual review shouldn't eat your day. GRAMS generates reports in seconds, formatted the way sponsored programs offices actually use them.

Audit Trail
Audit pressure that never goes away

Federal audits, institutional reviews, sponsor site visits. The documentation burden is real. GRAMS maintains a full audit trail of every balance, allocation, and projection change, so you're always ready.

How it works.

What makes our support different
Speaks your language
No-cost extensions, budget modifications, carryover requests, effort commitments. We know what these mean and why they matter.
Understands the pressure
PI meetings, sponsor deadlines, year-end closeouts. Your support contact has lived through all of it and won't waste your time with generic answers.
Responds same day
Questions don't sit in a queue for days. You hear back from a real person (the same person) within hours, not a ticket number.
"I spent over a decade on the other side of these questions, managing accounts, fielding PI calls, and preparing for audits. When I answer a support question in GRAMS, I'm not guessing. I've been there." — Your GRAMS Support Specialist, Former Grants Administrator
GRAMS Support
You
My projected balance looks off. GRAMS is showing indirect costs on salaries but I thought tuition was also supposed to carry F&A — why isn't it?
Grant Admin Support · GRAMS
Good catch — tuition remission is actually an F&A-excluded cost under most federal rate agreements. Indirect costs apply to salaries, wages, and fringe benefits, but not to tuition, equipment, or patient care costs. GRAMS follows your negotiated rate agreement, so that's working as expected.
You
Ah, so why is tuition showing $0 in the summer months then? The grad student is still enrolled.
Grant Admin Support · GRAMS
That's a common one. Tuition remission is typically not charged in summer because most universities only assess it during academic semesters. Summer enrollment works differently. If your institution does charge summer tuition, you'd need to add it manually as a projection line in the account detail sheet. Want me to show you how?
You
Yes please. And does fringe apply to the summer salary too?
